Privacy Policy — Raplo Capture

This policy explains how Orinda Labs LLC ("Orinda Labs", "we") handles personal information in Raplo Capture, our lead-capture app for businesses that exhibit at trade shows, conferences, and field events. It covers information about the businesses that use Raplo Capture, and the contact information those businesses capture about the people they meet at events.

Two kinds of information, two roles

We handle personal information in two different roles:

As a business, for our own customers. When a business signs up for Raplo Capture, we collect and use their account information to run the service.
As a service provider, for our customers' event leads. When a business scans a badge or business card, they collect an attendee's contact details. That business decides what to collect and how to use it. We store and process that information on their behalf, under their instructions. If you attended an event and want your information changed or deleted, contact the business that scanned you — or reach us at the address below and we will route your request to them.

What we collect

Account information (about our customers)

Name, email address, business name, and sign-in details.
Billing information — payments are handled by a third-party payment processor; we do not store full card numbers.
Basic usage and device information needed to run and secure the app (for example, which features are used and error logs).

Event lead information (captured by our customers)

Contact details read from a badge or business card — such as name, company, job title, email, and phone number.
Notes a customer adds about the conversation, and the interest areas they tag.
Where the customer turns it on and the attendee agrees, an audio recording of the conversation and its text transcript. Recording happens only after consent is captured in the app.
Images of a badge or business card used to read the details automatically.

How we use it

To provide the app: capture, organize, sync, and export leads for the customer who collected them.
To operate, secure, support, and improve the service.
To take payment and send service and account emails.

We do not sell personal information, and we do not share it for cross-context behavioral advertising. We do not use our customers' captured lead data for our own marketing.

How it's stored and protected

Information is encrypted in transit (HTTPS) and stored with our cloud hosting provider with encryption at rest. Access is limited to what's needed to run and support the service. On the show floor the app works offline — leads are stored on the device and sync to our servers when a connection returns.

Retention

Event lead information is kept for the customer who collected it until they delete it or close their account. When a customer deletes a lead, or closes their account, we delete the associated lead data within [30] days, except where we must keep limited records to meet a legal obligation.
Account and billing records are kept for the life of the account and for a reasonable period afterward to meet tax, accounting, and legal requirements.

Deletion and your choices

You can ask us to access, correct, or delete personal information:

Customers can edit or delete leads and account data in the app, or email us to close an account and delete its data.
Event attendees can email privacy@orindalabs.com to request access or deletion of information a business captured about them. Because that business controls the information, we will act on their instructions and help complete the request.

California privacy rights (CCPA/CPRA)

If you are a California resident, you have the right to:

Know what personal information we hold about you and how it's used.
Delete personal information we hold about you.
Correct inaccurate personal information.
Opt out of the sale or sharing of your personal information. We do not sell or share personal information, so there is nothing to opt out of.
Not be discriminated against for exercising these rights.

To exercise these rights, email privacy@orindalabs.com. We will verify your request and respond within the time the law requires. For information a business captured about you at an event, that business is the party responsible for the information, and we will help route and complete your request.

Children

Raplo Capture is a business tool and is not directed to children. We do not knowingly collect personal information from children under 13.

Changes

We may update this policy. When we do, we'll change the "Last updated" date above and, for material changes, notify customers.
